Dayforce API Integration

Connecting Dayforce to Your Existing Systems

The Dayforce API enables bidirectional data flow between Dayforce and your ERP, HRIS, benefits carriers, time-tracking systems, and data warehouses. We build the integrations that make it work.

Whether you're syncing employee data from an existing HRIS before go-live, pushing payroll results to your ERP, sending deductions to benefits carriers, or pulling time-tracking data from a legacy system — the Dayforce API handles it. We work with all major integration patterns: SFTP managed file transfer, REST API connectors, scheduled batch jobs, and real-time event-driven hooks.

ADP Workforce Now migrations
Employee and payroll data migration via API and SFTP
Paychex data sync
Bi-directional deduction and earnings feed setup
UKG/Kronos migration support
Time and attendance data bridging during cutover

Typical integration frequency: daily batch or real-time. Go-live timelines range from 2–6 weeks depending on complexity. We monitor error rates post-deployment and tune data flows until they're clean.

Dayforce Implementation Timeline

Realistic timeline for mid-market (200–5,000 employees)

Most mid-market Dayforce implementations run 4–9 months. Complexity — integrations, data volume, benefits carriers — extends that range. Here's the typical sequence:

Phase 1

Discovery & Requirements Weeks 1–2

Scope the project, document requirements, audit current state, align on priorities. Expect 8–15 stakeholder interviews. Deliverable: project charter and phased work plan.

Phase 2

Configuration & Data Migration Weeks 3–8

Core configuration, historical data migration, integration build. Data migration is where most projects slip — fix it here, not at go-live. Deliverable: configured system ready for UAT.

Phase 3

Testing, UAT & Training Weeks 9–12

End-to-end testing, parallel payroll runs, HR/payroll user training, benefits enrollment validation. Parallel run is non-negotiable — run at least one full payroll cycle against the old system.

Phase 4

Go-Live & Hypercare Weeks 13–16

Cutover execution, first live payroll support, real-time issue resolution. Hypercare staffing is critical — you need fast response times during the first 2–4 weeks.

Phase 5

Post-Go-Live Optimization Ongoing

Configuration refinement, release regression testing, benefits carrier validations, additional module rollout. Stabilize before adding scope.

Common timeline extenders: Benefits carrier setup delays, ERP integration complexity, multi-state tax configuration, union/Mexico compliance requirements, and incomplete data migration prep. Build 2–4 weeks of buffer into your plan.

Dayforce Data Migration Support

ADP → Dayforce

The most common mid-market migration. ADP Workforce Now and ADP Run both have migration paths, but the data never comes over cleanly on its own.

  • Employee data audit: what's portable, what needs re-entry
  • Payroll history migration (YTD balances, deductions, garnishments)
  • Benefits deduction mapping and carrier re-enrollment
  • Tax entity re-configuration (FED, state, local)
  • Parallel run validation before go-live

What carries over: employee demographics, pay components, some deduction codes. What doesn't: custom ADP scripts, historical absence balances, custom report logic.

UKG/Kronos → Dayforce

Time and attendance migration is the hardest part of a UKG/Kronos exit. The data structure is different; the tolerance for errors is zero.

  • Timekeeping data mapping and validation
  • Accrual balance migration (PTO, sick, holiday)
  • Scheduling rule migration and review
  • UKG/Kronos integration cutover planning
  • Post-migration time data reconciliation

The Dayforce time model handles most UKG/Kronos patterns — but overtime rules, labor allocation, and badge-to-employee mapping are where migrations fail silently.

Workday → Dayforce

Workday HCM migrations require careful data extraction and re-normalization. The data exists — it's a matter of getting it into Dayforce's structure correctly.

  • Workday data export audit and extraction
  • Employee, compensation, and benefits data mapping
  • Custom report extraction for Workday-managed workflows
  • Integration mapping for existing Workday connectors

Workday's data model is more flexible than Dayforce's — migration prep often surfaces configuration gaps that were masked by Workday's customization options.

Pre-Migration Audit

Before you move data, fix what's broken in your current system. Migrating garbage into a clean system creates a bigger problem.

  • Data quality assessment: duplicates, missing fields, invalid records
  • Deduction and benefit plan audit
  • Payroll tax configuration review (FED, state, local)
  • Integration and interface audit
  • Remediation work plan with fixed scope and pricing

Dayforce Go-Live Readiness Checklist

What needs to be done before go-live — and who owns it.

Use this checklist to hold your implementation team accountable. If something isn't done, it needs an owner, a reason, and a documented risk acceptance.

Configuration completeness review

Payroll, taxes, benefits, time & attendance — all modules signed off

Integration testing sign-off

All SFTP, API, and ERP integrations tested end-to-end with carrier

Payroll parallel-run confirmation

At least one full payroll run matched between old and new system

Benefits enrollment validation

All carriers confirmed, deductions correct, coverage effective date validated

Tax jurisdiction audit

All state, local, and district tax registrations verified and configured

Training completion

HR, payroll, and manager users trained and signed off

Data migration sign-off

All employee, payroll, and benefits data validated post-migration

Hypercare team confirmed

Support team identified, escalation paths documented, SLAs agreed

Dayforce Post-Go-Live Hypercare

What "hypercare" actually means at Harmon & Co

Hypercare isn't a buzzword — it's the period where the system is under real load for the first time and problems surface fast. We structure it in three windows with clear response times.

First 30 Days

Critical Response

Issues reported by 2pm get same-day response. Critical production issues (payroll can't run, tax filing at risk) get 2-hour response.

  • Release regression testing as updates ship
  • Daily check-ins during first payroll cycle
  • Configuration fixes as they surface
Days 31–60

Stabilization

Response times extend to next-business-day. Focus shifts to optimization and surfacing configuration refinements.

  • Configuration refinement based on real usage
  • Benefits carrier reconciliation
  • Payroll accuracy validation
Days 61–90

Transition

Your internal team takes ownership. We provide documentation, training, and on-call support for edge cases.

  • Admin guide and runbook delivery
  • Dayforce release monitoring
  • Ongoing as-needed support
Emergency production support SLA: Critical issues (payroll can't process, tax filing blocked, system down) receive a response within 2 hours during business hours. Outside business hours, we provide an emergency escalation number with 4-hour response.

Why Dayforce Integration Expertise Matters

The failure points most consultants miss.

Dayforce integrations fail in ways that don't show up in test environments. Field mapping breaks on the first real payroll run. SFTP credentials rotate silently. Date formats drift between systems. A generic consultant who configured the integration six months ago isn't watching — and by the time you notice, you've got 60 days of bad data.

The deeper problem: most Dayforce consultants treat integrations as a checkbox. They build to spec, hand it over, and move on. When it breaks — and it will — there's no ownership. You get a "we'll take a look" email and a three-week wait.

What deep Dayforce integration expertise unlocks: we know where Dayforce's data model is rigid and where it's forgiving. We know which carriers require specific file formats and which ones accept anything. We know the Integration Studio quirks that cause intermittent failures. That knowledge comes from doing this full-time, on mid-market implementations, for years.

It also means faster scoping. We've seen your problem before. We can give you a fixed price in 48 hours instead of a three-week discovery sprint.
